[Sig-l] Call for SIG budgets

Greetings from your SIG Cabinet Deputy,
By now your SIG should have received notice of the Fiscal Year 2013
[October 2012-September 2013] allocation (based on SIG membership) and an
accounting of expenses at the Annual meeting. This represents your SIG's
slice of $12,000 that ASIS&T allocates from membership dues for the use of
SIG activities. SIGs that have additional earned income (such as from
webinars, publications or other events) - have been provided a spreadsheet
with these additional balances. Jan Hatzakos maintains these accounts and I
encourage you to contact her <jan at asis.org>, if you have questions about
the accounting.
If your SIG did not receive this information, please contact me off list.
(I sent this information to the SIG officers now listed on the ASIST
website). If you have not submitted your current officers to Jan and Chris
Landbeck clandbeck at fsu.edu please do so as soon as possible.
Next steps:
The SIG budget process is behind schedule this year, and I'm proposing the
following so that we can quickly determine SIG plans for expenditures of
allocations and earnings for the remainder of FY13. This is important
because the SIG Cabinet needs to determine if there are unencumbered
allocations that could be redirected to SIGs that have plans for this
money.
(Note: SIGs only forfeit unencumbered allocations, not earned amounts!)
Workflow scenarios:
My SIG submitted a budget. (We have budgets for DL, ED, HFIS and MET)> You
will hear back from the Cabinet - see dates below.
My SIG has spent their allocation at the 2012 annual meeting:
>If you have no remaining earned funds, you need do nothing.
> If you have earned funds to spend, please submit a budget (process
below)
My SIG has allocated funds to spend
> Submit a budget (if you do not, you will release your allocation for
the use of other SIGs).
Budgets are due Saturday February 17th. This will allow us to determine if
there are any unspent allocation amounts that can be assigned to SIGs who
have applied for additional funding.
Budget format:
Please indicate the following for each item
(1) Proposed activity (2) Description of activity (3) Proposed cost [For
SIGs with allocation+earnings indicate source of expenditure].
To streamline the process - SIGs may budget for greater than their
allocation (but there is no guarantee you will receive funds in excess of
your balance). Doing so will serve as an application for the unencumbered
allocations from SIGs who have no plans to spend their funds prior to
October 1, 2013.
If there are remaining unencumbered allocations, the Cabinet will notify
SIGs who applied for them as part of this process by March 1.
