Document and content management policies have been mentioned, but
overarching that is records management. So, what you may find useful is to
explore the retention and disposal schedules already in place for the
organisation's records. Any organisation of a good size should have a
records manager who is responsible for this aspect of business
documentation.
Although the information you mention does not seem to be generated within
the organisation (although I may be misunderstanding what is exactly on the
intranet), it would seem sensible to develop retention periods for such
information that aligned with the retention periods for records to which
that information related. This will also tie in to the business critical
information and the risk that may exist. A retention and disposal schedule
is drawn up with legal, business, risk and practical considerations in mind,
and covers all the records of an organisation.
Note that in the records management / recordkeeping context, "archiving"
has a quite specific meaning that is considerably more complex and
sophisticated than the meaning given to the same word by IT.
If you wish to contact me off-list, I can provide other sources of
information.
