Hi Jan, 

Maybe you're considering this, but didn't mention it in your email. What 
seems to be missing from your process is some sort of audience 
identification and task analysis. Who is going to use this site and what 
are they trying to accomplish? Rather than having each group propose 
content, you might want to ask who they think their audience is and what 
that person's goals are as it relates to their dept. If you can walk away 
from your meeting with a clear idea of your audience/user and a list of 
their goals, you will then KNOW what content you will need to include to 
help the user accomplish their goals. This will be much more effective 
than leaving your meeting with a list of content that doesn't map to 
specific goals. I'd recommend having each group brainstorm goals first and 
then do some sort of quick prioritization exercise to ensure the most 
important ones are addressed. 

You can then follow up with each group individually to get/create the 
content you need.
