ASIST student chapter advisors and officers,

Under the Finances section, http://www.asis.org/Chapters/student_chapter_manual.html#finances, it states:
"An appropriation of $100 per year is available to each Student Chapter, upon request by the Student Chapter. An accounting of this appropriation must be made at the end of each ASIS&T Fiscal Year (September 30), whereupon a new appropriation of $100 will be issued if all the funds have been expended. If only a portion of the funds were expended, the amount expended will be replenished.”

Requests for funds are to be made to ASIS&T HQ every year (by Sept. 30) as listed in the checklist http://www.asis.org/Chapters/student_chapter_manual.html#checklist.

Funding requests should be sent to the ASIS&T Finance Director, Jan Hatzakos (jan at asis.org) or Executive Director, Richard Hill (rhill at asis.org).

Upon request, ASIS&T will set up an account for your student chapter. In the initial year, your student chapter will be credited with an initial amount of $100. Reimbursement requests are to be made Jan Hatzakos (with expense receipts), assuming they are approved and fall within ASIS&T guidelines as outlined in the manual. Since ASIS&T holds your funds, your student chapter will not be required to open a bank account. An accounting of your funds at year-end (Sept. 30) will not be necessary as we will keep a running account throughout the year. You may request your balance or an accounting of your account at any time by sending a request to Jan.

In subsequent years (after the first year), a request for funds should only be up to the amount that was spent in the previous year. If you spent $60 for year one, your year-end balance would be $40 ($100-$60), therefore, you would request up to $60 the 2nd year to reinstate your balance to $100.

ASIS&T uses a fiscal year which runs from October 1 through September 30.

Please refer to the attached Excel spreadsheet template for an example of student chapter accounting.

Further questions on this should be directed to Jan Hatzakos (jan at asis.org).
