I am a bit worried about the visas, as far as I remember the Iranians did not get visas for the STI conference last year which was in Montreal as well. Is that so, Vincent? And then there were still diplomatic relationships between Canada and Iran (they broke them off during the conference last year). We should inform the winner and the runners-up as soon as possible, so that they will have enough time to apply for a visa. We used last year's Elsevier's funds in three ways: to pay for the workshop (in full) for the student paper winners; to have a discount rate for all the participants (from $150 to $105); and to have an additional discount for student participants (the registration for them was $65). The way the discount for students worked was by reimbursement of $40 after the ASIST annual meeting. I agree with Judit that student paper contest winners should be able to register for free to the workshop.
