[Sigmet-officers] Paper contest - response to Chaoqun

Chaoqun, thanks for your message and making the changes.  I will respond to all the points you raise.
 
(1) Only three winners will be selected and rewarded one-year membership of ASIS&T, and only the first prize winner will be rewarded the conference registration. [I am not sure about how much SIGMET can afford toward this student paper contest. Do you have any funding plans for this?]
JL: As regards specifying that we will select three winners, I would prefer retaining a more flexible system that could reflect the strength and depth of the applications.   I suggest that the SIG offers to select a winner, a runners-up and an unspecified number of ‘highly commended’ and ‘commended papers.  To illustrate the problem, I describe an experience I had when reviewing for SIG II:  One year only 11 papers were submitted.  We decided on a two-stage review process, in which each judge picked a ‘top paper’ and then every judge reviewed the ‘top’ papers.  The problem was that although two papers were universally regarded as far stronger than the others, we had to award prizes to the four papers that every judge considered to be worse than the two papers.  In addition, the papers rated second were not singled out for special mention although it was universally regarded as stronger than the other runner-up papers.
JL: As regards funding, Casssidy applied for funding from ASIST.  Cassidy, for how much did you apply and when do you expect to receive an answer to our application?
 
(2) I added to the announcement that "The research should be original works and has not been submitted to or published by other journals or conferences (but not ASIS&T) by the time it is submitted." 
JL: I prefer: "The research should be original works that has not been published in a journal or be in the process of being considered by a journal at the time it is submitted to this contest.”
 
(3) I agree with all your concerns about the presentation issues on the submissions. I think that Stasa's idea that "selected papers automatically be admitted to main conference poster session" is very reasonable. I am also considering that maybe we can have the winners do posters at our workshop and do presentations at the main conference. How do you think? 
JL: Which we could offer to ask the organiser(s) of the posters to accept all highly rated papers I don’t we can offer acceptance as posters without first clearing this with organiser(s) of the poster; this could be in later call but I don’t think we should delay the call in order to obtain consent.  I think it is a good idea to offer that highly rated contestants present posters at our workshop, but I thinly we need to add something like ‘If the workshop is held, ....), as it is not certain that we will obtain approval for a workshop.  As regards offering that highly rated contestants present at the main conference, I don’t think we can do this as the main conference has its own review system.
 
(4) I aggree with Jonathan that we should have an earlier deadline so that students can make some revisions and submit to the main conference. The deadline of submission for our paper contest is tentatively set to April 30th, which is about one month earlier than the deadline for main conference submission. How do you think?  
JL: I prefer a much earl8uer date in April.  My reasoning is as follows: there are 18 weeks from February 1 until the ASIST deadline and it would be disproportionate to allocate 13.5 of these weeks to finalising the call and students responding to the call only 4.5 of these weeks to reviewing, informing of outcomes and students revising their papers and submitting to the ASIST meeting. I recommend the following schedule: (a) initial call sent to the lists in first week of February, (b) deadline for submissions of Sunday April 10 and (c) deadline for notification of outcomes of Sunday May 8.  This would give the students at least 23 days to revise for the conference; I write ‘at least, as we probably could notify contestants earlier than May 8.  However I suggest allowing plenty of time for contingencies (e.g., a reviewer being ill or the SIG receiving far more applications than expected).  In addition we need to leave time to discuss any changes in
 the review process: to me a good strategy is likely to depend on the number of items to review.
 
Any other thought? All comments and suggestions are appreciated.

Dear all,

I agree with Dietmar that the requirement for the consideration should
be that "the research not be published by the time of presentation,
and that the paper has not been submitted concurrently to the main
meeting". However, I can see that some students might want to present at
the main meeting. One way to go about that is to make an agreement with
the poster session organizer of the main conference that the awarded
papers get an automatic admission to the main conference poster session.
After all, these papers will be reviewed by the panel of experts.

I agree that a paper accepted for the conference should not be submitted for the workshop.? To me the matter seems less clear about the extent to which a workshop presentation could be on the same topic as an accepted poster.? As regards the paper contest, I agree with Dietmar that allowing people to submit anything that has not yet been published.?

Another way around this is to arrange an early paper contest.? If we can evaluate the submitted papers by say May 10 then anyone who has submitted to the paper contest can make revisions and submit to the main conference before the May 31 deadline.? This way the paper contest can be a type of mentoring in that people keen to submit to the main conference would get reviewer feedback in time to submit a poster or paper to the main conference.
