Attached are the minutes from Chapter Assembly at ASIS&T Annual in Austin 
last November.  (Below is a text version of the same document).

Chapter Assembly
Minutes of Meeting
Hilton Austin, Nov. 5, 2006

1. Call to Order

2. Roll call of Chapter Assembly Representatives
Present: Arizona, Central Ohio, Europe, Florida, Indiana, Los Angeles, 
Minnesota, New England, New Jersey, Northern Ohio, Southern Ohio, 
Wisconsin, Student Chapters.

Not Present: Michigan, PNW, PVC, Taipei, Metro New York

3. Approval of the Agenda
The agenda was approved with the following changes: President Michael 
Leach will be added under the Director’s Report, the Member of the Year 
item will be removed and a Chapter Innovation Award item will be added.

4. Approval of the Minutes
The minutes of the 2005 Chapter Assembly Meeting were approved without 
corrections.

5. Director’s Report

Announcements:
The Chapter Planning breakfast will be Tuesday at 7am. 
New student chapter in Europe and British Columbia were approved this 
year. 

Beata touched on 3 points of interest from the past year.

a. Michael's efforts to internationalize the Society.  We now have 
interest in forming chapters in Australia and the Gulf Region.  We've 
regained contact with the Taipei Chapter.  The European Chapter and the 
European Student Chapter are going strong (more or less).  And there is a 
new student chapter at the University of British Columbia.

b. Chapter Leaders Conference Call this past spring was successful.  We 
will continue to hold conference calls regularly because this is an 
effective means to talk amongst ourselves.  A suggestion from the recent 
conference call was to survey our members to understand their relationship 
to chapters.  Amy Wallace has drafted a survey using the survey tool 
available at HQ.

c. Chapter awards nominations this year were problematic.  We received 
only one Chapter of the Year submission and no Chapter Member of the Year.

6. President Michael Leach’s Report: 
Chapters contribute to the ASIS&T budget.  ASIS&T has $126,000 in chapter 
assets as a reserve fund.  When organizing chapter programs, chapter 
leaders should realize that chapter revenues have an impact on the overall 
Society.

Michael stressed the importance of the work of the Nominations Committee. 
The Nominations Committee selects the nominees for the Board of Directors 
and the President.  Remember they represent your interests.  You have 
important role to play in your vote for the Chapter Assembly 
representative on this committee.
 
7. Presentation of Chapter Awards
a. Chapter Event of the Year:
New England Chapter, "Buy, Hack, or Build: Optimizing Your Systems for 
Your Users and Your Sanity" and "Social Software, Libraries, and the 
Communities"

b. Chapter Innovation:
Arizona Chapter

c. Chapter Publication of the Year
New Jersey Chapter, "30 Years of NJ-ASIS&T"

a. Outgoing Chapter Chairs
b. Outgoing Chapter  Advisors: Marija Dalbello, Deborah Helman, Linda

a. Chapter Assembly approved the request to dissolve the University of 
Arkansas Student Chapter.  Candy Schwartz moved.  Steve Hardin from 
Indiana seconded. 
b. Dick Hill announced that Amy Wallace was re-elected Deputy Assembly 
Director and Beata Panagopoulos re-elected Chapter Assembly Director. 
c. Christine Connors was elected ASIST Chapter of the Year Jury Member and 
Marija Dalbello was elected Chapter Representative to ASIST 2006 
Nominations Committee.
d. Focused Discussion – Common Chapter Concerns

The membership database has been available online for the past year and 
canned web reports are also available.  Are people using them?  Are there 
problems?

Chapter leaders should encourage members to enter their expertise into the 
online membership database.  A suggestion was made to remind members in 
The Bulletin again that they should complete the “Just for the Web” online 
membership profile.  There was a previous Bulletin announcement 
encouraging members to enter their data and there was an increase in the 
size of the database.  There was a question of whether the database has 
improved the quality of data.

Question: What about partnering with SIGs for programs?

Beata and Amy need the information about new chapter officers.  They need 
to get all new chapter leaders signed up on Chapters-L.

Question: Is there a way to subscribe automatically to ASIST-L?  Dick does 
not want to subscribe new members automatically.  Chapters could do it. 
Would it be possible to do as a mass subscription?  There are currently 
about 900 members on list.

Comment: Desire for an official list serve for meeting announcements. 

Question: When people renew or sign up for ASIS&T membership,  can a box 
be checked to automatically be subscribed to ASIS-L?

Suggestion: NEASIST offered ASIST membership as a giveaway at their awards 
program. 

Suggestion: Partnering with SIGS on programs.

Suggestion: Transform SIG Rush to SIG and Chapter Rush.  People could 
bring posters to help inform and recruit members.

Suggestion: Wisconsin set up award for grad student to come to the annual 
meeting.  Need to get a paper or poster accepted.  $500 has been set 
aside.

Suggestion: At next Chapter Assembly meeting, we should have name tags for 
chapter advisors and name cards for chapter officers.

e. Announcements
Leadership Development Program on Sunday at 5:30 Topic: How to plan, 
organize, and moderate a panel.  Leadership committee will meet tomorrow 
at 5:15 Monday.

Chapters Assembly Planning Breakfast on Tues at 7am – please RSVP.

Reminder about the availability of Chapter Development Funds.

Minnesota moved to adjourn.  Europe seconded
